Where is the meeting?
Meetings are held in HCHB room 5215, unless otherwise stated.
Do you have an agenda yet?
Agendas are developed by DCO after all presentation materials are received. A final agenda is released to NEP members and presenters at least 3 business days prior to the meeting.
Who do I contact to get on the NEP schedule? NEC schedule?
Send an email to dco@noaa.gov and the responsible staffer will contact you for scheduling.
What is a “virtual”?
It is a method of considering a proposal and arriving at a decision without convening an in-person meeting of the NEC or NEP. It is done vie email and the NEI web site hence the term “virtual.”
When is a “virtual” used?
When it is impractical or unnecessary to schedule and in-person meeting (e.g. short turn-around time or the topic has already been covered at a meeting and needs a final approval of the changes).
What happens after the meeting? When will I have a decision?
Typically you will know your decision at the conclusion of the meeting. DCO has two business days to prepare the official meeting notes, which will be coordinated with you in draft form before released to the NEP for comment. Following the NEP comment period, DCO prepares a NOAA Decision Memorandum (NDM). The NDM is the official record of the meeting and associated actions. You will receive a copy upon signature.
How do I get access to the NEI?
Access to the NEI must be approved by the appropriate line office Assistant Administrator or Deputy Assistant Administrator, or the Staff Office Director or Deputy Director. An email should be sent by the approving official to dco@noaa.gov to request access. The DCO policy on access to the NEI and Executive E-Mail distribution may be found at http://www.dco.noaa.gov/policy.htm.
How soon after a NEP can I schedule a NEC?
Since materials for each meeting are due 5 business days in advance of the meeting, it is prudent to allow sufficient time to incorporate any changes required by the NEP before submitting your briefing to the NEC.
When are materials due? Why so early?
Materials are due to DCO 5 business days prior to the meeting. Upon receipt, DCO reviews the materials for adherence to the standard presentation format. DCO is also responsible for briefing the Deputy Under Secretary on all briefings prior to a NEP meeting. The Executive Decision Process also dictates that materials are to be posted for NEP review at least 3 business days prior to the meeting. This gives the NEP Principals sufficient time for review prior to the NEP, resulting in an informed decision regarding your briefing.
I was assigned an action item, what do I do now?
Respond to the action item as directed through the NOAA controlled correspondence process. A copy should also be sent to dco@noaa.gov to ensure proper closeout of your action item.
How do I get an extension on my due date?
Contact dco@noaa.gov requesting an extension of your due date. DCO will coordinate with NOAA Executive Secretariat.
Can I bring additional staff to the meeting?
Attendance at the NEP and NEC is strictly enforced. Requests for additional attendance should be sent to: dco@noaa.gov Please include the name of the person you are requesting attendance, and reason it is appropriate for this person to attend the briefing.
